Cancellation & No‑Show Policy

Effective 27 May 2025

This Policy forms part of the Chauffeuropolis Terms & Conditions of Carriage. All definitions used there apply here. By placing a booking you accept the charges and timelines below.

This version applies to bookings made or confirmed on or after 27 May 2025. Earlier bookings remain governed by the terms accepted when the booking was confirmed.

1 HOW TO CANCEL

A cancellation or rescheduling request is deemed received when a complete request, including the booking ID, reaches one of the accepted channels above. The applicable cancellation window is determined using the timestamp of the valid request, not the time Chauffeuropolis sends its confirmation. Chauffeuropolis will confirm receipt by email, SMS, or portal receipt. Messages sent to any other inbox or social‑media account are not valid.

Refund Priority & Special Booking Rules:
Where more than one cancellation, refund, or rescheduling rule could apply, the more specific rule applies first. Booking-specific cancellation, refund, rescheduling, or payment terms expressly disclosed before confirmation and accepted in a quote, invoice, booking confirmation, or service agreement override the standard rules below.

Time Since Booking:
The amount of time that has passed since the booking was made does not create a separate refund right. The applicable cancellation rule is determined by the time remaining before the scheduled pick-up, any accepted booking-specific terms, and any rights that cannot lawfully be waived.

Rider‑Initiated Cancellations:
Full refunds are not automatic for rider‑initiated cancellations. Early-cancellation refunds may be reduced by applicable administrative fees, payment processing costs, supplier charges, driver or vehicle allocation costs, and other non-recoverable expenses.

A full refund may be granted at Chauffeuropolis’s discretion, where Chauffeuropolis cancels because of a service failure, or where required by law.

Meaning of a 50% Refund:
Where this Policy provides a 50% refund, the refund equals 50% of the amount paid for the affected service. That 50% refund will not be reduced again by administrative fees or payment processing costs unless different booking-specific terms were expressly disclosed and accepted before confirmation.

Less Than 24 Hours Before Pick-UpA cancellation made less than 24 hours before pick-up may be non-refundable and may be charged in full. Any refund or credit in these circumstances is at Chauffeuropolis’s discretion.
Last-Minute BookingsA booking made or confirmed less than 24 hours before pick-up and later cancelled may be non-refundable and may be charged in full. Any refund or credit in these circumstances is at Chauffeuropolis’s discretion.
Committed and Non-Recoverable CostsA booking may be non-refundable where Chauffeuropolis has already incurred or committed to substantial booking-specific costs for a vehicle, driver, affiliate, contractor, supplier, permit, venue, or other requirement, and those costs cannot reasonably be recovered or reassigned.
Incorrect Booking InformationA booking may be non-refundable where materially incorrect or incomplete information supplied by the Rider prevents or materially affects performance of the service. Minor errors that do not affect the service are not automatically treated as non-refundable.
Rescheduled BookingsRescheduling does not restart or improve the original cancellation rights. If a rescheduled booking is later cancelled, it is eligible for a 50% refund only, unless a stricter rule applies.

Peak Season Bookings:

For services scheduled during June, July, or August, where the booking is made or confirmed within 30 days of the scheduled service date, full prepayment may be required. Once payment is received, cancellations are eligible for a 50% refund only. Rescheduling may be considered subject to availability, operational capacity, price differences, and applicable fees.

Other High-Demand Dates:

Long weekends, holidays, concerts, festivals, major sporting events, conventions, and special events may also be treated as Peak Season Bookings where this treatment is expressly disclosed before confirmation in the applicable quote, invoice, booking confirmation, or service agreement.

Rescheduling Fees:

Rescheduling may incur a fee at Chauffeuropolis’s discretion based on availability, vehicle class, operational impact, price differences, or other relevant factors. All applicable fees must be paid before confirmation of the revised booking. Chauffeuropolis may deny rescheduling or apply additional charges for repeated or last-minute requests.

3 NO‑SHOW

A booking becomes a no‑show when:

  • The passenger fails to appear within the included waiting time (15 min city/private aviation/FBO pick ups / 45 min commercial airport arrivals), and
  • CP cannot reach the contact number on file.

For commercial airline arrivals, the 45-minute included waiting period begins at the published actual flight arrival time. For city pickups and private aviation or FBO pickups, the 15-minute included waiting period begins at the later of the scheduled pick-up time or the vehicle’s arrival at the agreed pickup point.

No‑shows are charged the full fare plus waiting time and any parking/toll costs actually incurred.

4 FORCE MAJEURE

Extreme weather, airport closures, civil emergencies or other Force Majeure events (as defined in the T&C) may make service unsafe or impossible.

If Chauffeuropolis cancels because service is unsafe or impossible due to Force Majeure, the Rider may choose rescheduling or a refund less any non-recoverable third-party costs actually incurred, except where applicable law requires otherwise.

If the Rider cancels because of an officially recognized severe event that materially prevents travel, Chauffeuropolis may waive the standard cancellation charge. Any refund may remain subject to payment processing costs and other non-recoverable third-party expenses, except where prohibited by law. Otherwise, the standard cancellation rules apply.

5 STATUTORY RIGHTS

Nothing in this Policy limits any cancellation, refund, or other right that cannot lawfully be waived under applicable consumer protection law.

6 DISPUTES

Any disagreement concerning cancellation charges, refunds, or credits follows the Dispute Resolution section of the Terms & Conditions.
